Transactions: review, categorise, split, copy, remove

Every line that moves money in or out of a bank, card or cash account, in one list. Categorise straight on the list, split across categories, copy one that repeats, and tick it reviewed.

The list

Where in the app: Accounting → Transactions

  • Filter by account (its balance shows), category, money in or out, transfers, reviewed or not, and search.
  • On a wide screen, click a date, description or amount to change it, and pick the account or category from a dropdown. Enter saves; Escape cancels.
  • On a phone, tap a row to open it.
  • The … menu: edit, Copy as a new transaction, see the journal entry, Make a rule, Remove.

Add one

  • Income, Expense or Transfer between your accounts.
  • Split an amount across several categories. A negative split goes the other way, such as fees taken out of a payout.
  • Add a customer or vendor, or a new one on the spot.
  • Typing a category that doesn't exist offers Add as a new category.
  • Money back on something you bought: pick the expense under "Return on an expense" and it lowers that expense.

Tip: An account in another currency asks for the exchange rate, filled in for the day. A transfer between currencies asks for the amount sent and the amount received.

Editing is safe

Your books keep a full history. Changing a transaction reverses the old entry and posts the corrected one; removing reverses it. The review tick and receipts carry over. Transactions in a closed period or a finished reconciliation are read-only.

"Account not chosen"

Imported lines with no bank or card (Wave's "Unknown Account") are highlighted with Choose account. A banner counts them, with Show only these.

What you should see

What you should see

  • Every transaction either ticked reviewed or still to look at
  • No uncategorised lines left at month end
  • A paperclip on transactions that have receipts
  • Bank rules: categorise the routine automatically

A rule puts every bank line whose description contains some words into a category, as it arrives. Bookalyze also suggests rules for payees you keep categorising the same way.

  • Receipts: upload, email in, attach

Drop receipts into the inbox, or email them to your company's receipts address, then attach each to its transaction. PDFs and photos up to 20 MB.

  • Possible duplicates and transfers between your accounts

A bank line that looks like a transaction already in your books is flagged, never merged on its own. Money out of one of your accounts and into another is suggested as a transfer.

  • Journal entries

For anything that isn't money in or out of a bank: depreciation, accruals, corrections. Debits and credits with a live balance check; entries can mix currencies.
